THE CHALLENGE

Manual operations couldn't keep up with multiple sites and a 50-person team.

When you're running multiple construction sites with a large team, the gaps in manual operations don't stay small for long. Expense data, attendance records, design changes, and material procurement were each tracked their own way — and the cost of that fragmentation grew with every new project.

  • Expense tracking was fragmented across paper and scattered spreadsheets — by the time numbers were consolidated, it was too late to course-correct.
  • Attendance had no reliable paper trail across sites, making salary calculations slow and disputes hard to defend.
  • Design changes were shared over WhatsApp without clear versioning, and work sometimes proceeded from already-revised plans.
  • Material procurement happened informally — approvals undocumented, partial deliveries untracked, vendor reconciliation painful.

VeePee is a Chennai-based construction firm with a strong track record in residential apartment developments and commercial turnkey projects. Known for delivering quality builds with thoughtful amenities — CCTV infrastructure, lifts, high-UDS projects — they've built that reputation with a 50+ member team across site workers, supervisors, HR, and management. As project load grew, the cracks in their manual operations started showing. Vizdale worked closely with VeePee to design and build a platform that fits the way their business actually runs.

Role-based access

The platform works differently for a super admin, an HR manager, and a site employee. Everyone gets a view that's relevant to their role and nothing that isn't.

Company-wide dashboard

Super admins get a live overview of all active projects, total workforce, expenses across sites, on-site expense trends, pending indent requests, and monthly salary data in one place.

Civil entries per project

Worker costs, material usage, and general expenses are logged directly within each project. Every entry has a record ID, is attributed to the person who made it, and can have supporting files attached.

Selfie-verified attendance

Employees check in through the platform with photo verification. Custom logic automatically classifies each record as early, on-time, late, half-day, or absent — removing ambiguity from attendance data.

Attendance-linked salary tracking

HR can view individual attendance records by date and use that data directly when calculating monthly payroll, cutting out the manual cross-referencing that used to slow things down.

Design version control with in-platform comments

Designs and floor plans can be uploaded, updated, and versioned. Old versions are archived automatically. Feedback is added as comments within the platform, keeping conversations tied to the right file.

Material indent workflow

Workers raise material requests through the platform with item details, quantity, and preferred vendor. Management reviews and approves, and once materials arrive, delivery can be logged — including partial fulfillments.

Cross-project labor view

Labor expenses from all projects are visible in one consolidated view, with filters by labor type. Entries sync both ways — update a project and it reflects here, and vice versa.

Vendor tracking

Every vendor tied to a project has a record of what they supplied, what was contracted, how many transactions have been made, and what payments are still pending.

Project logs

A full change history for every project, so nothing is ever lost or disputed.

How we built it

Phase 1 — Understanding the workflow. Before any design work began, Vizdale spent time understanding how VeePee actually operated — how attendance was being recorded, how expenses moved from site to management, how procurement requests were made, and how teams communicated about project designs. The goal was to build around their real process, not assume what it looked like.

Phase 2 — Designing the experience. With three distinct user types in mind, the platform was designed so that each role had a focused, uncluttered experience. Layouts and workflows were reviewed with VeePee's team before development began.

Phase 3 — Development. The platform was built as a web application with full mobile optimization — a practical necessity given that site staff and field managers needed to use it from their phones. Custom logic was developed for attendance classification, the indent approval flow, and design version management.

Phase 4 — Rollout. The platform was introduced in stages, starting with management and HR before expanding to site-level employees. Permissions were configured to match VeePee's team structure, and each group was walked through the parts of the platform relevant to them.

Phase 5 — Handoff. VeePee's super admin was set up to independently manage team members, roles, and permissions going forward. The handoff was structured so they weren't dependent on Vizdale for day-to-day platform administration.

What changed

Management can now see live project costs, workforce data, and pending actions without waiting for manually assembled reports. Attendance disputes dropped as records became photo-verified, timestamped, and automatically classified. Payroll processing became more straightforward with attendance data directly accessible to HR in a structured format. Material procurement shifted from informal requests to a documented workflow with approvals, delivery tracking, and partial fulfillment records. Design-related rework reduced as teams started working from versioned files with feedback tied to the right document. Vendor payment tracking became reliable with transaction histories, contract dates, and outstanding balances visible per project.

VeePee came in with a team that knew how to build well. What they needed was infrastructure to match that — a way to run their operations with the same level of care they put into their projects. That's what the platform gave them.
